This guide explains how to effectively manage groups and permissions for team members


Types of User Profiles

In a team, you may encounter different types of user profiles:

  • Operator: Creates and follows up on contacts (customers, candidates, etc.).
  • Manager: Oversees projects at a higher level, requiring KPIs and performance reports, but not involved in daily contact management.
  • Technical: Configures projects in coordination with the manager and may need access to APIs for in-depth integration.

Managing Groups

To organize team members, create groups and assign rights based on their profiles. For example:

  • Administrator Group: Full access rights.
  • Operator Group: Limited to contact management.

If your organization has multiple offices or brands, create separate groups to manage these "silos" (e.g., London Office, Paris Office).

To create your first group, go to Settings > Groups then click on β€œAdd Group”

Managing Permissions

After creating groups, assign minimal necessary rights, such as:

  • Contact Management: For all operators.
  • Theme Management: For marketing or technical teams.
  • Electronic Signature Management: For managers.

Limiting Access to Contacts

You can restrict access to specific contacts to ensure that offices only see their own entries. Restrictions can be applied by:

  • Accounts: Limiting access to one or more specific accounts.
  • Tags: Allowing visibility only for contacts with specific tags.

Special Group: Admins

Every account includes a non-deletable "Admins" group with full rights. This ensures that there is always at least one profile with unrestricted access, guaranteeing you never lose control over your account.
